Plastic Document Box Specification Guide

Share

Choosing a document box is often considered a simple decision, as people usually just pick one that fits their documents.

However, incorrect size and material selection can lead to problems after a few months of use, such as difficulty organizing documents, wasted shelf space, or a box that quickly gets damaged because it does not match storage requirements.

That is why this guide will explain document box specifications, including standard sizes and the most suitable materials for long-term storage needs.

Standard Archive Box Sizes Commonly Used

Size for A4 Documents

A4 documents measure 21 x 29.7 cm and are widely used in offices. Document boxes for this size usually have slightly larger internal dimensions to ensure papers can be inserted and removed easily without being bent or stuck.

Size for Legal or Folio Documents

Folio or F4 documents measure 21.5 x 33 cm and require longer box dimensions compared to A4-specific boxes. Boxes designed for this size ensure that documents remain flat and are not folded or damaged at the edges.

Comparison of Small, Medium, and Large Sizes

Small boxes are suitable for limited document storage or short-term use. Medium-sized boxes are the most versatile and commonly used for daily office needs. Large boxes are ideal for high-volume, long-term archives such as annual institutional records.

When to Use Each Size

The choice of box size depends on document volume, access frequency, and available storage space. Frequently accessed documents are best stored in medium-sized boxes for easy handling, while long-term archives that are rarely opened are more efficient in large boxes to maximize storage capacity.

Document Box Material and Its Impact on Durability

1. Cardboard Box

Cardboard is widely used due to its affordable price and easy availability. For short-term or temporary document storage, cardboard can still be a practical option.

However, cardboard has structural weaknesses. It tends to absorb moisture from the surrounding environment, which can weaken paper documents and make them prone to tearing after a few months of storage.

In poorly ventilated or high-humidity environments, cardboard can also become a medium that accelerates mold growth on stored documents.

Additionally, cardboard is vulnerable to termite attacks when stored for long periods without regular inspection. When stacked over time, it gradually loses strength due to continuous pressure, causing edges and corners to become easily damaged.

2. PP Board Plastic Box

This material offers significantly better durability compared to cardboard in almost all aspects. Its surface does not absorb water, keeping documents inside dry and well protected.

The hollow structural design of PP board also provides higher load resistance compared to cardboard with similar thickness.

PP board boxes are resistant to tearing, do not attract termites, and maintain their shape even after repeated stacking and long-term use. The surface is also easy to clean or wipe when needed.

PP board archive boxes are highly recommended for storing legal documents, academic records, or important administrative files that need to be preserved for many years.
